Pikit sends email reminders to clients before their appointments. Learn how reminders work and what to expect.

Overview

Pikit sends email reminders to clients before their confirmed appointments. These reminders help reduce no-shows and keep clients informed about upcoming appointments.

Reminders are sent by the system - you don't need to configure them manually or trigger them yourself.

Reminder Timing

The system sends reminders at two intervals before confirmed appointments:

24-Hour Reminder

Sent 24 hours before the appointment time. This gives clients advance notice to prepare or reschedule if needed.

2-Hour Reminder

Sent 2 hours before the appointment time. This serves as a final reminder to help prevent no-shows.

How Timing Works

The system checks for appointments that need reminders every 10 minutes. When an appointment is within 24 hours or 2 hours of its scheduled time, and it has a "Confirmed" status, the system typically sends the appropriate reminder email.

Status Requirements

Reminders are only sent for appointments with a Confirmed status. Appointments with other statuses (UnConfirmed, Waiting, InService, CancelAppointment, PendingVerification) do not receive reminders.

Important

If you want clients to receive reminders, make sure to confirm their appointments. Unconfirmed appointments typically do not trigger reminder emails.

Reminder Content

Reminder emails include:

  • Client's name
  • Appointment date and time
  • Service information
  • Provider name
  • Link to view or manage the appointment

Limitations

Current reminder functionality:

  • Reminders are sent via email only (SMS reminders are not currently available)
  • Reminders are only sent for Confirmed appointments
  • You cannot customize reminder timing (24h and 2h are fixed)
  • Reminders are sent by the system - you cannot manually trigger them
  • Reminder content is system-generated and cannot be customized per account

Troubleshooting

Client Not Receiving Reminders

If a client reports not receiving reminders, check:

  • Is the appointment status "Confirmed"?
  • Is the client's email address correct in their profile?
  • Has enough time passed? (24 hours or 2 hours before appointment)
  • Check the client's spam/junk folder

Reminder Timing

Reminders are sent based on the appointment's scheduled time. The system checks every 10 minutes, so there may be a slight delay (up to 10 minutes) from the exact 24-hour or 2-hour mark.
